Job Description

Professional, Full Time

Accountabilities and Responsibilities

  • The appointee will apply his/her administration skills to support the following tasks and responsibilities to ensure effective and efficient running of the Administration Function within the Faculty.
  • Coordinate the day-to-day running of the Faculty including maintaining proper safe-keeping of the physical assets within the Faculty and maintaining office data.
  • Manage email, phone correspondences and diary management for academics of the Faculty and Dean’s office.
  • Processing of Purchase Requisitions and associated paperwork and processing of expenses/travel claims of academics and Dean’s office.
  • Manage meeting rooms including room bookings, ensuring the availability of equipment, provision of catering (if deemed necessary) and arrange for clean-up.
  • Ensure reception area, public spaces and noticeboards are kept up to date and well-presented.
  • Assist Administrative Officer to maintain SCRIPTS and contacts database, staff contact list and group email lists.
  • Produce reports and minutes of meetings as requested. It refers to the extraction reports related to student applications, admissions and enrolments of FoES analysis’ purpose as well as preparation of minutes of meetings.
  • Undertake basic finance and procurement functions.
  • Assist research groups with administrative requirements and reporting as required.
  • Performs other duties as assigned.

Compliancy and Legislative Knowledge

  • Comply with requirements of the University Health and Safety Management standards, relevant Malaysian Occupational Safety and Health legislations, anti-discrimination, equal opportunity and other legislative requirements in accordance with the parameters of the position.
    

Selection Criteria

Essential

  • Completion of a relevant or an equivalent combination of relevant experience and/or administrative support.
  • Demonstrated accuracy in data entry and information retrieval, along with excellent computer skills, utilising a variety of sofware programs.
  • Demonstrated ability to communicate and interact effectively with external parties and staff at all levels.
  • Demonstrated ability to work effectively both in a team environment and autonomously.
  • Demonstrated proven time management and organisational skills, ability to manage a high volume of tasks and duties with competing priorites in an organised manner and within datelines.

Desirable

  • Knowledge of administrative policies and procedures as applied to University environment.
  • Knowledge of financial and purchasing systems.
  • Experience in dealing with external parties, including governmental, public and industrial organisations.
